The Administrative Assistant follows established procedures and guidelines to provide effective secretarial support to an office, business unit, department, or other organization. This role involves answering telephones, screening calls, and taking messages promptly and courteously. The Administrative Assistant performs advanced administrative, operational, and customer support duties that require independent initiative and judgment. Key responsibilities include transcribing, typing, formatting, and proofreading various materials such as correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations using word processing, presentation, graphics, and spreadsheet software. The position also coordinates internal and external meetings, which may involve scheduling, making travel arrangements for attendees, and ensuring meeting amenities are available. Managing staff appointments and schedules, and using office equipment like photocopiers, faxes, and printers are also part of the role. Additional duties may include distributing incoming mail, preparing outgoing mail, filing, and maintaining office supplies. Decisions typically focus on methods, tactics, and processes for completing administrative tasks and projects. The role regularly exercises discretion and judgment in prioritizing requests and interpreting and adapting procedures, processes, and techniques, working under limited guidance due to previous experience and knowledge of administrative processes and organizational structure.
