This is a part-time, temporary position with an anticipated assignment duration of 30 to 60 days. The schedule and hours may vary based on business needs. This assignment may be extended or converted to a regular position at the Company’s discretion, based on performance and business needs. Nothing in this assignment should be construed as a guarantee of continued employment. Reporting directly to the Chief of Staff, the Office Administrator plays a vital role in ensuring smooth daily operations and overall organizational efficiency. The ideal candidate is highly organized, proactive, with the ability to multitask in a fast-paced environment. This position combines administrative, operational, and customer service responsibilities, requiring exceptional discretion, problem-solving skills, and attention to detail. Key duties include monitoring and maintaining office supply inventory, answering incoming calls, and managing both electronic and paper records. By providing reliable support and fostering efficient workflows, the Office Administrator contributes directly to the company’s success.

Nice To Haves

  • Associate or Bachelor’s degree in a related field preferred.
  • Spanish speaking is a plus but not necessary.
  • Experience with scheduling and administrative functions is a plus.

Responsibilities

  • Process and prepare time sensitive documents, such as business, regulatory or government reporting and permitting items.
  • Assist Operations and Human Resources by maintaining equipment and personnel manifests as necessary in support of business operations/special projects and regulatory, tax and DMV reporting.
  • Assist with office supplies stock, ordering, and organization.
  • Assist in planning and organizing company events, meetings, conferences, as well as travel arrangements.
  • Organize, store and maintain company records and files (both paper and digital).
  • Maintain a high degree of discretion and confidentiality.
  • Serve as a key point of contact / “go to” person when “something” just needs to get done.
  • Assist owners that may include scheduling appointments, running errands.
  • Ensure timely processing of data to meet deadlines and organizational needs as requested.
  • Provide a proactive and caring demeanor, fostering a positive work environment for all employees.
  • Occasionally support other executives with administrative tasks.
