About The Position

Fisk Electric, a Tutor Perini Company, is seeking an Administrative Assistant to join their office in Houston, TX. Fisk Electric, established in 1913, is a leading provider for the design, installation, and maintenance of electrical systems, structured cabling applications, integrated electronic security systems, and building technology solutions. They have extensive experience across various building types and site conditions throughout the United States and internationally. Notable projects include The Purple Line (D Line) Extensions in Los Angeles, SR 99 Viaduct replacement tunnel in Seattle, MGM Grand and City Center projects in Las Vegas, Third Street Light Rail in San Francisco, Minute Maid Park in Houston, and multiple airport expansions and data center projects. As an Administrative Assistant, reporting to the Office Manager, the role involves serving as an extension of Fisk’s Corporate Office, maintaining confidentiality, assisting with receptionist duties, handling confidential matters, and prioritizing projects from Corporate Executives. The assistant will also act as a corporate representative, assist with meeting coordination, prepare special reports, process administrative items, provide document support, manage promotional items, and maintain filing systems. The position requires the ability to independently prioritize and execute tasks with minimal guidance.

Requirements

  • High School Diploma or GED equivalent is required
  • 5 or more years as an Administrative Assistant
  • Excellent written and verbal communication to clearly articulate licensing/contract terms.
  • High level of accuracy in managing license data and contract details.
  • Intermediate skills in MS Office Suite to include Word, Excel, and PowerPoint

  • Previous experience with a desktop publishing software
  • Previous experience with Bluebeam

Responsibilities

  • Serve as an unofficial extension of Fisk’s Corporate Office and is responsible for maintaining the highest level of confidentiality of information and activities of the Corporate Office.
  • Assist with Receptionist lunch rotation.
  • Handle confidential matters with sensitivity and protects access by those without a genuine need-to-know.
  • Prioritize short-term and long-term projects assigned by Corporate Executives and actively apply time management skills to meet fast approaching deadlines.
  • Act as corporate representative to one or more industry organizations or meetings as needed liaise between managers and others, such as other departments, external contacts, clients, etc.
  • Assist with meetings, block hotel rooms, meeting space, transportation, meals, and coordinate large groups.
  • Prepare special reports, brochures, etc. per supervisor’s request. Such items usually require extensive research, creativity, development and/or interpretation of the best method of delivery along with graphic presentation.
  • Oversee and/or process day-to-day administrative items (i.e., expense reports, supply requisitions, other required reports) per supervisor’s authorization.
  • Provide accurate, timely and efficient support by composing, creating and/or editing a variety of documents, i.e. Correspondence, spreadsheets, PowerPoint presentations, MS PUBLISHER (, transmittals and internal memoranda.
  • Manage Fisk’s promotional items and the ordering of Fisk Logo Products.
  • Develop and maintain a well-organized filing system that permits easy reference and rapid retrieval of information.
  • Report to Office Manager but will also be directed by the overall needs of the corporate management team.
  • Ability to independently prioritize and execute tasks, requiring minimal guidance or support to achieve goals.
