The Administrative Assistant is responsible for managing daily operations including logistics, purchasing, customer service, invoicing, and administrative support to ensure a smooth and efficient workflow.

Requirements

  • Graduation from high school or receipt of equivalent degree (GED).
  • Strong organizational and multitasking skills with the ability to manage priorities and meet deadlines
  • Excellent communication skills for coordinating with customer, suppliers, carriers, and internal teams
  • Problem-solving skills to resolve shipping delays, order issues, and customer concerns quickly
  • Dependable attendance and reliability for handling daily operational deadlines
  • To conform to U.S. Government export regulations, applicant must be a U.S. citizen, lawful permanent resident of the U.S. or protected individual as defined by ITAR (22 CFR §120.15).

Responsibilities

  • Coordinate daily shipments by reviewing schedules, selecting carriers, and arranging pickups to meet customer delivery requirements
  • Prepare and process shipping documents including but not limited to Bills of Lading, SLIs, ASNs, and customer-required records
  • Maintain and update customer shipping instructions, routing guides, and shipment records
  • Obtain freight quotes, evaluate operations, and select cost-effective transportations solutions
  • Enter and manage customer orders according to Procedure SA-003, while ensuring accurate processing and timely fulfillment
  • Generate and send customer invoices, maintain consignment accounts, and track balances
  • Issue purchase orders to suppliers and update orders for pricing, quantities, and delivery changes
  • Monitor subcontractor work-in-process activity and follow up on material and outside processing orders
  • Support daily business operations through cross-functional communication, performance monitoring, and administrative tasks
