As an Administrative Assistant, your will primarily be responsible for facilitating the operations of the front desk, answering telephone calls and directing clients to appropriate team members. The Administrative Assistant will also be the first point of contact for new clients through telephone calls and gathering the appropriate information. The Administrative Assistant is also required to assist the Office Manager and Coordinators with their daily duties. Working at the office is an essential job function of the Administrative Assistance.

Requirements

  • High School Diploma, or higher
  • 1-3 years’ experience preferred (entry level applicants welcome to apply)
  • Strong and professional communication skills, including writing, speaking and active listening
  • Proficiency in MS Office Suite, with an emphasis on Excel and Outlook
  • Excellent organization skills, detail oriented
  • Can problem solve and demonstrate initiative
  • Able to switch tasks quickly as work priority demands
  • Ability to work as part of a team, with multiple managers
  • The ability to sit at a desk up to 80% of the time
  • The ability to stand and walk up to 20% of the time
  • The ability to be confined in a small area, such as a cubicle
  • The ability to operate telephones and computers
  • The ability in front of a computer for the majority of the day
  • Ability to lift and carry at least 50 lbs.

Nice To Haves

  • Experience working in the legal field preferred, but not required

Responsibilities

  • Perform front desk duties and facilitate operations of the front desk
  • Serve as first point-of-contact for incoming telephone calls
  • Gather relevant information from caller to determine most appropriate contact at Aperture
  • Provide general information to callers
  • Direct in-person clients to the appropriate team member
  • Gather and record basic identifying information from new client calls to provide to In-Take Specialist and/or help input the information into our systems
  • Assist the Office Manager and Coordinators as required with their daily duties
  • Performance of all job duties in the worksite on a daily basis based on nature of work and amount of collaboration required with others
  • Closing files, including breaking down physical binders for scanning, entering information in Clio, moving electronic files, purging physical files
  • Copy jobs, filing, printing, and scanning
  • Download data from discs and flash drives to network folders
