About The Position

The Administrative Assistant provides general office support for a variety of clerical activities and tasks including answering incoming calls, managing mail, requisitioning supplies, organizing office communication and activities on a day-to-day basis. This role may also be responsible for cargo inspections within the terminals.

Requirements

  • Proven administrative assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in MS Office

Responsibilities

  • Answers and direct phone calls
  • Organizes and schedule meetings and appointments
  • Maintains contact lists
  • Produces and distribute correspondence memos, letters, faxes and forms
  • Orders office supplies
  • Provides general support to visitors with general Pier information
  • Assists truckers with receiving and delivery at both office and outside on the terminal
  • Assists customers with general information
  • Inputs vessel and cargo information into the TOS such as, but not limited to: B/L's, hatch list, manifest confirmations, etc.
  • Records daily delivery and receiving
  • Other duties as assigned
  • Cargo inspection including verification, cleanliness, condition, measurements
  • Confirms Cargo location/spots
  • Confirms all paperwork is up to par regarding cargo
  • Makes sure communication is in place with Union staff
