About The Position

Administrative Support Person for the Nurse-Family Partnership (NFP) and Healthy Families America (HFA) Programs

Requirements

  • A high school diploma and two years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.
  • Proficient in Office Suite: Word, Excel, PowerPoint.
  • Typing at a corrected rate of 35wpm is the minimum allowance.
  • Must be able to use Outlook, Microsoft Teams, Zoom.

Nice To Haves

  • Proficient in OurDay procurement using pCard and punchouts as well as expense reports for monthly and conference travel.
  • Experience working with Penelope/ “Flo” and Quickbase data systems.
  • Ideal candidates will excel at attention to detail, organization, problem-solving/taking initiative, time management, communication, and working autonomously.
  • Adherence to confidentiality and ability to adapt to constant changes are essential.

Responsibilities

  • Direct the activities of purchase and procurement of office supplies, client support materials, and professional development registration for the HFA program.
  • Administrative support for quarterly HFA Community Advisory Board: manage invites, changes in board participants, agendas, and minutes.
  • Enter and forward monthly travel vouchers for HFA staff to appropriate personnel for processing.
  • Evaluate and oversee nurse home visitor new enrollment and dismissal activity in the NFP national web based Penelope ("Flo") and MIECHV database completely and accurately in a timely manner.
  • Plan, coordinate, and conduct chart audits and MIECHV database audits.
  • Provide statistical information to NFP Nurse Supervisor and NFP Administrator.
  • Monitor follow-up of outstanding chart amendments.
  • Receive requests/referrals for Nurse-Family Partnership for Charleston, Colleton, Dorchester, and Berkeley Counties and enter in Flo.
  • Distribute referrals to NFP nurse supervisor.
  • Update disposition of referrals in Flo and the Referral Distribution Spreadsheet.
  • Direct the activities of purchase and procurement of office supplies, client support materials, and professional development registration for NFP.
  • Administrative support for NFP: manage invites, changes in board participants, agendas, and minutes for quarterly Community Advisory Board.
  • Organize and file data in One Drive.
  • Participate in weekly team meetings and assist with organizing community and family events.
  • Assist NFP Nurse Supervisor and/or administrator with program communications and client correspondence.
  • Send program enrollment letters to providers of new clients and babies.
  • Enter and forward monthly travel vouchers for NFP staff to appropriate personnel for processing.
  • Complete all required trainings and meetings.
  • Other duties as assigned.
