Position Title: Administrative Assistant (Active Department of Defense Secret Security Clearance Required) Position Location: Charleston, SC Description: Liberty is seeking an Administrative Assistant for our government client in Charleston, SC. The successful candidate will demonstrate initiative and the ability to work under limited supervision while fulfilling a variety of administrative duties accurately and efficiently. This position requires superior administrative and organizational skills, an appreciation for policies and procedures, and an attentiveness to detail.

  • Associates Degree in Business or Computer Science and Four (4) years of related experience developing and processing correspondence, preparing briefing and presentation materials, updating existing briefing materials, maintaining files, compiling reports, scheduling events, preparing itineraries, and interfacing with personnel and customers.
  • OR EQUIVALENT
  • High Diploma or GED and Eight (8) years of related experience in a DoD/DON environment developing and processing correspondence, preparing briefing and presentation materials, updating existing briefing materials, scheduling events, preparing itineraries, maintaining files, compiling reports, and interfacing with personnel and customers.
  • Compliance will be required with regulations pursuant to Executive Order 14042 and associated guidance published by the Safer Federal Workforce Task Force as it pertains to mandatory COVID-19 Vaccinations, subject to such exceptions as required by law.

Responsibilities

  • Provide direct administrative support in planning, scheduling, developing agendas/briefs, participating in onsite/offsite meetings, official events, conferences, and assist with training actions.
  • Create a wide variety of documents (often complex) such as reports, spreadsheets, and presentations that require proficient to expert knowledge of Microsoft Office
  • Document and distribute highly complex meeting minutes and other correspondence
  • Use multiple office software/database applications for collecting information to produce a wide range of documents and use the software/database to create, edit, copy, store, retrieve, sort or calculate, and present various types of information collected for reporting purposes.
  • Perform quality assurance check for all products produced to ensure accuracy and compliance with standards and directives.
  • Coordinate calendars and schedules utilizing Microsoft Teams
  • Act as a liaison with other departments and competencies and outside agencies as necessary
  • Maintain databases of complex and confidential departmental information
  • Respond to requests, distribute correspondence, circulate information, etc., to other staff as needed, including senior staff
  • Research and resolve administrative issues and complaints; follow-up to ensure complete and quality resolutions.
  • Maintain suspense systems and track actions for completion; assist with developing and initiating administrative methods and procedures concerning high interest items, flow of information, and processing of action packages.
  • Produce and interpret time and attendance reports through the ERP System
  • Answer incoming phone calls, often from senior staff, and screen as necessary
  • Assist with planning and implementing visits involving distinguished visitors, guests, or large groups; make necessary travel arrangements, process badging/visitor access requests ensuring Protocol Office is informed, and any support required to host distinguished visitors.
  • Assist with travel arrangements for supported personnel using the Defense Travel System and assist with travel voucher problems.
  • Organize conferences and meetings for on-site and off-site for senior staff, sometimes involving large numbers of attendees or complex arrangements through the use of Microsoft Teams
  • Receipt for, control, and safeguard incoming and outgoing correspondence, files, mail, and packages; sort and deliver mail/packages to offices while maintaining accountability logs.
  • Ensure competency/department files and records are maintained in accordance with Records Management directives/policies.
  • Provide general administrative duties to include purchasing office supplies, processing outgoing mail, and picking up, sorting and distributing incoming mail
  • Cross-training other administrative personnel
