About The Position

This position assists the Operations Manager in all tasks regarding crew members, scheduling, logs, reports, meetings, and communication related to their market. The role involves supporting the coordination of weekly work orders, routes, and crew member assignments, tracking hours worked to manage work order schedule and overtime, and gathering and submitting information for weekly payroll reports, expense reports, and POP submissions. The assistant will maintain vinyl check-in logs, update records, logs, and inventory lists for materials, tools, equipment, devices, maintenance, Capex, and crew members, coordinating with other departments as necessary. Responsibilities also include maintaining safety logs, binders, and signed zero tolerance forms, preparing reports on deadlines, workloads, equipment/supply needs, and budget matters for the Operations Manager and other stakeholders. The position requires working with several other departments to maximize efficiency, tracking and ordering supplies, tools, and equipment (including health and safety equipment) for crew members, and tracking safety incidents, training courses, and certifications. The Administrative Assistant will serve as an additional point of contact for crew members, support all operational activities to ensure timeliness and adherence to budget, attend Operations Department and Market meetings to take notes, log Market Ride notes from the Operations Manager, and coordinate maintenance efforts with other departments as needed.

Requirements

  • High School Diploma or equivalent
  • 1 – 2 years related experience
  • Excellent communication and interpersonal skills.
  • Strong time management skills and the ability to prioritize workload and multi-task effectively.
  • A methodical approach to planning workloads with problem-solving skills.
  • Leadership skills that will help make changes across the organization when required.
  • Ability to work under pressure and complete tasks to tight deadlines.
  • Project management skills such as delegation.
  • Excellent computer skills including expert spreadsheet and data management skills.

Responsibilities

  • Support the coordination of weekly work orders, routes, and crew member assignments.
  • Track hours worked to manage work order schedule and overtime.
  • Gather and submit information for weekly payroll reports, expense reports, POP (Proof of Performance) submissions.
  • Maintain vinyl check-in log to ensure market needs are met.
  • Update records, logs and inventory lists for materials, tools, equipment, devices, maintenance, Capex, and crew members.
  • Coordinate and communicate with other departments where necessary.
  • Maintain safety logs, binders, and signed zero tolerance forms.
  • Prepare reports regarding deadlines, workloads, equipment/supply needs and budget matters for Operations Manager and other stakeholders.
  • Work with several other departments to ensure that efficiency is maximized.
  • Track and order supplies, tools, and equipment for crew members, including health and safety equipment.
  • Track safety incidents, training courses, certifications, and collect Zero Tolerance policy sign offs.
  • Serve as an additional point of conduct for crew members.
  • Support all operational activities to ensure timeliness and within a defined budget.
  • Attends Operations Department meeting and Market meetings.
  • Take notes.
  • Log Market Ride notes from Operations Manager.
  • Coordinate maintenance efforts with other departments as needed.
