About The Position

Our client has an immediate need for a temporary Administrative Assistant to support their HOA’s Engineering Department by providing administrative assistance, basic project coordination, and homeowner communication. This role requires strong organizational skills, attention to detail, and a calm, professional approach when interacting with homeowners regarding engineering-related matters.

Requirements

  • Strong proficiency in Microsoft Excel and general office software
  • Excellent data entry skills with a high level of accuracy and attention to detail
  • Ability to manage multiple priorities in a deadline-driven environment
  • Professional and composed phone demeanor, especially when handling demanding or upset homeowners
  • Strong written and verbal communication skills
  • Dependable, organized, and detail-oriented

Nice To Haves

  • Prior experience working with an HOA, property management company, or municipal environment
  • Experience supporting engineering, construction, or capital improvement projects

Responsibilities

  • Provide administrative support to the Engineering Department within the HOA
  • Assist with coordinating engineering-related projects, tracking timelines, approvals, and documentation
  • Maintain accurate records through data entry and document management systems
  • Prepare, update, and manage Excel spreadsheets, reports, and logs
  • Serve as a point of contact for homeowners regarding engineering inquiries, responding calmly and professionally to questions or concerns
  • Answer incoming calls and emails, routing issues appropriately and following up as needed
  • Coordinate communication between homeowners, engineers, board members, and vendors
  • Maintain organized electronic and physical files related to engineering projects and HOA records
  • Assist with special projects and other administrative tasks as assigned
