About The Position

This position will provide administrative and secretarial support to executive staff with office management responsibilities to include filing, scheduling appointments, making travel arrangements, personnel records, and payroll in the Office of Operations. The administrative assistant will provide support for budget and procurement functions for an assigned division or portfolio, utilizing agency logistics systems as needed. The location of work is in Arlington, Virginia at NFATC.

Requirements

  • Two (2) years of experience in a related field.
  • High-School Diploma
  • Ability to obtain Secret Level Clearance
  • U.S. Citizenship and fluency in English language.
  • Effective oral and written communication skills.
  • Ability to follow technical direction as delivered by the CO, COR, ACOR, or GTM.
  • Ability to interact effectively in a multicultural setting.
  • Superior organization skills with a high level of attention to detail.
  • Excellent customer service skills.
  • The ability to work effectively and on a team with colleagues in various employment categories such as civil and foreign service government employees and other contract employees.
  • The ability to effectively utilize Microsoft Office business applications software sufficient to meet the needs of their specific position (e.g. Microsoft Outlook, Excel, Teams, PowerPoint, SharePoint.

  • Secondary education, such as associates or bachelor’s degrees.
  • Work experience in an educational or training institute.

Responsibilities

  • Composes non-standard correspondence on administrative, procedural and policy matters for GTM’s approval
  • Processes routine and non-routine training requests for individuals and groups following and interpreting SOPs and established policies.
  • Maintains records and files in accordance to established timelines, policies and procedures
  • Performs complex data entry using a variety of proprietary and non-propriety applications (e.g., Student Information System, MS Office Suite, etc.).
  • Anticipates and prepares materials as needed for conferences, correspondence, appointments, meetings, telephone calls, etc., and informs GTM on matters to be considered.
  • Reads and interprets publications, procedures, regulations, and directives; acts on, or escalates matters of importance; makes recommendations for process improvements and updates
  • Reviews, drafts, and edits technical and non-technical documents, reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources.
  • The Administrative Assistant may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
