About The Position

The Administrative Assistant provides high-level administrative and operational support to executive leadership and cross-functional teams. This role is critical to ensuring the smooth day-to-day functioning of the organization by managing schedules, coordinating communications, maintaining records, and supporting internal processes. The ideal candidate is highly organized, detail-oriented, discreet, and comfortable supporting senior leadership in a fast-paced, mission-focused environment.

Requirements

  • High school diploma or equivalent required; associate’s degree or higher preferred.
  • 3+ years of administrative or executive support experience.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • High level of professionalism, discretion, and emotional intelligence.
  • Proficiency in Microsoft Office and/or Google Workspace (Outlook/Gmail, Word/Docs, Excel/Sheets, Calendars).
  • Excellent written and verbal communication skills.

Responsibilities

  • Provide direct administrative support to executive leadership, including calendar management, meeting coordination, and travel logistics.
  • Prepare agendas, take meeting notes, and track follow-up action items.
  • Draft, proofread, and format correspondence, reports, and internal documents.
  • Manage confidential and sensitive information with professionalism and discretion.
  • Serve as a central point of contact for internal staff, external partners, and visitors.
  • Coordinate office operations, including supplies, mail, filing systems, and shared calendars.
  • Support onboarding and offboarding logistics in coordination with HR (paperwork, scheduling, access coordination).
  • Assist with tracking deadlines, deliverables, and administrative workflows across departments.
  • Support internal communication efforts by coordinating meetings, schedules, and shared resources.
  • Assist in organizing events, leadership meetings, trainings, and community engagements.
  • Maintain accurate records, databases, and document management systems.
  • Provide ad-hoc administrative support to leadership and teams as needed.
  • Assist with basic data entry, reporting, and document tracking.
  • Support continuous improvement of administrative processes and systems.
