This position provides support to the Experience Optimization Team at Walt Disney World Resort and Disneyland Resort, which includes Content Strategy and Integration, FOS Training, Operations Training and Workforce Management. In this role, you will provide high-level administrative support that helps enable the success of the Experience Optimization team. You will contribute to the smooth operation of the business by supporting team workflows, fostering coordination, and anticipating organizational needs. The ideal candidate is highly organized, adaptable, and comfortable balancing multiple priorities in a dynamic environment. This is a full-time role and this role reports to the Business Planning and Integration Manager.

Requirements

  • 2+ years administrative support or equivalent experience
  • Working knowledge of Walt Disney World policies, procedures, and offerings
  • Strong proficiency in Microsoft Office and Windows-based environments
  • Tech-savvy with the ability to quickly learn new systems (e.g., SAP, SharePoint, Smartsheet, Concur, Coupa)
  • Highly professional and discreet with a strong commitment to confidentiality
  • Clear, diplomatic, and professional communication skills (email/phone)
  • Proactive, resourceful, flexible and dependable; able to anticipate needs
  • Strong organizational skills with attention to detail and the ability to manage multiple priorities and deadlines
  • Positive, can-do attitude and willingness to learn
  • High school degree or equivalent experience

Nice To Haves

  • Prior experience supporting at the Sr. Manager level
  • Presentation design skills, with the ability to create clear, visually engaging slides

Responsibilities

  • Drive an organized and professional environment while providing service focused delivery.
  • Work with multiple departments, internal & external clients and Executive staff including providing back-up support for the Executive Assistants as needed
  • Primary contact for supply and equipment orders, which includes process and tracking payments to vendors
  • Track team time off using Labor Utilization Reports in SAP
  • Prepare, submit, and reconcile expense and travel reports in accordance with company policies
  • Manage onboarding and offboarding of Cast Members (including property/building access)
  • Prep conference rooms and AV / virtual call setup
  • Partner and assist integration team with cast recognition
  • Proactively resolve problems and pitch in to help
  • Coordinate and support the planning of on-site and off-site events and meetings, supporting special projects and events as needed
  • Research and report out on specific topics as required
  • Handle highly confidential correspondence and information with utmost discretion
  • Work closely with the Executive and Sr. Managers on activities, projects, meetings, event planning and office logistic
  • Provide general office management and technology support
