The Experience You’ll Create: The Administrative Assistant will support our Innovation Center Hospitality team. They are responsible for creating a welcoming, polished experience for all guests while ensuring the Innovation Center operates smoothly and efficiently. This role supports front desk operations, facility coordination, administrative processes, and event-related needs while acting as a brand ambassador for Continental. Success in this role means delivering exceptional hospitality, maintaining an optimal working environment, and providing reliable administrative support to the Events Group and Innovation Center leadership.

  • Bachelor’s degree in culinary arts or equivalent industry experience required.
  • Experience in large kitchens, banquets, or off-premises catering strongly preferred.
  • ServSafe / Allergen Certification required or willingness to obtain.
  • Strong proficiency with Microsoft Office and electronic communication tools.
  • Excellent organizational and time management skills.
  • Positive attitude with the ability to work across all levels of management.

Responsibilities

  • Greet all guests professionally and courteously, creating a warm and welcoming environment.
  • Notify appropriate team members of guest arrivals.
  • Answer company phones and route messages accurately and in a timely manner.
  • Maintain a clean, organized, and presentable reception and lobby area at all times.
  • Act as a brand ambassador by embodying Continental’s mission, values, and service standards.
  • Perform daily walkthroughs of the Innovation Center to identify cleanliness, safety, or maintenance needs.
  • Coordinate with building management and external maintenance vendors as needed.
  • Conduct weekly documented facility evaluations and prioritize follow-up actions.
  • Complete routine midday restroom checks to ensure supplies are fully stocked.
  • Monitor and maintain office equipment including copier.
  • Manage office supply ordering and inventory.
  • Design and execute office engagements that support culture growth.
  • Maintain inventory of guest kitchen smallware and refrigerators, including bi-weekly cleanouts.
  • Manage food service licenses, including annual renewal coordination and documentation.
  • Sort and distribute incoming mail and packages.
  • Create FedEx shipment labels and manage the FedEx account.
  • Process office invoices, code appropriately, and submit to Accounts Payable.
  • Process employee business card requests via Smartsheet.
  • Submit badge activation and replacement requests to IT for new hires or lost badges.
  • Maintain SOP documentation and assist with updates as needed.
  • Support calendar management and administrative tracking when applicable.
  • Design and print food signage for events as needed.
  • Assist the Staffing Department with on-call staff scheduling every Monday and Friday.
  • Support event preparation and execution, including serving as an Event Manager on weekends when required.
  • Assist the President of the Dining & Hospitality Group with special projects.
  • Provide administrative and operational support for Events Group initiatives as needed.
  • Support event-related needs such as starting music for tastings when applicable.
