About The Position

The Administrative Assistant – provides critical operational and administrative support to the Administration Manager and plays a key role in ensuring the smooth execution of People & Culture, recruiting, onboarding, compliance, and administrative workflows. This position is highly organized, detail-oriented, and proactive, serving as a primary point of contact for employees and applicants across a growing, multi-unit automotive franchise. This role is ideal for someone who enjoys supporting people, improving processes, and keeping operations running efficiently in a fast-paced environment.

Requirements

  • 2+ years of administrative, HR support, or office coordination experience
  • Strong organizational skills and ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Proficiency in Google Workspace and/or Microsoft Office; basic HRIS experience preferred
  • Ability to maintain confidentiality and handle sensitive information
  • Comfortable supporting high-volume, multi-site operations

Responsibilities

  • Manage calendars, scheduling, meeting preparation, and department communications
  • Maintain files and digital records to audit-ready standards
  • Prepare reports, correspondence, and department materials
  • Serve as a point of contact for employee and applicant inquiries
  • Manage office supplies, equipment tracking, and vendor coordination
  • Post jobs, screen resumes, and conduct initial phone screenings
  • Coordinate interviews and assist with background checks
  • Prepare offer letters and onboarding packets
  • Support employee lifecycle administration including onboarding and offboarding
  • Assist with payroll-related data entry
  • Assist with invoice coding, receipt organization, and statement consolidation for Finance
  • Assist with system access, navigation, and troubleshooting
  • Coordinate with IT for escalations and improvements
