About The Position

The Administrative Assistants primary responsibility is to assist the General Manager and Accounting Department in administrative duties. They will promote the hotel by always maintaining a high level of positive attitude and hospitality.

Requirements

  • Ability to read, listen and communicate effectively in English, both in verbal and written format with our guests, hotel management and other staff members.
  • Must possess strong organizational skills and be detail oriented to facilitate accurate completion of all required procedures.
  • Must be able to stand for long periods of time. Requires walking, typing, reaching, and bending frequently.
  • Ability to work long hours, flexible shifts, and days.
  • Ability to access and accurately input information using a moderately complex computer system.
  • Proficient with the Internet
  • Knowledge of Microsoft computer software, including Excel and Word.
  • Must have a friendly, helpful personality enabling one to handle guest relations pleasantly and effectively.
  • Participate in committees such as safety or guest service.

Responsibilities

  • Distribute all mail to the appropriate departments
  • Assists with informing the associates of the process for employee benefits; health insurance, dental, life, short term disability, PFLMA, FLMA and PTO
  • Processes data for boarding new employees
  • Assists with monthly orientation for all new hires
  • Attend daily stand up
  • Assist General Manager with daily and weekly tasks, such as MOD schedule, digital file uploads and reconciliation of meal break waivers.
  • Assist Accounting Manager with daily tasks, such as scanning, filing and invoice coding
  • Know all safety, security, and emergency procedures and how to act upon them.
  • Performs any other duties assigned or requested by hotel management- example: announcements, name tags, reader boards, printing and shipping.
