SUMMARY Mortenson is currently seeking an Administrative Assistant to handle a wide range of administrative and executive support tasks. Accepted Locations: Omaha, NE; Lincoln, NE RESPONSIBILITIES Perform regular administrative tasks and overall office organization, greet visitors and customers with a positive demeanor, coordinate and set up meetings, handle calendars, and schedule travel Set up, organize, and manage filing systems, prepare documents, perform record keeping and filing duties, and proofread communications and documents carefully Prepare billing/invoices as needed, coordinate between numerous support groups (Safety, Human Resources, IT, Legal), and procure miscellaneous goods using Mortenson’s internal procurement system Understand the operating group and company resources and assist Operating Group Leadership members with miscellaneous duties such as expense reports and travel Perform regular safety administrative tasks and overall program organization, including reviewing Hazard Recognition submissions, managing safety logs and spreadsheets, tracking permits and inspections, and supporting daily, weekly, and monthly safety operations. Set up, organize, and maintain safety filing systems and records, including permits, authorizations, audit documentation, Trade Partner safety records, and orientation files, ensuring proper retention and compliance with operational requirements. Prepare safety-related materials and communications, including orientation packets, signage, slides, EAP maps (physical and virtual), audit calendars, and meeting agendas; distribute updates and post-meeting notes as required. Coordinate with multiple internal and external support groups (Safety, Operations, Trade Partners, HR, IT, and Leadership), assist with training logistics, meetings, catering, safety week planning, and procure safety supplies, equipment, prizes, and tokens within budget. Understand site safety programs, procedures, and resources to assist Safety Leadership with reporting, training coordination, inventory management, OSHA course assignments, and special safety initiatives; perform all other duties as assigned.
