About The Position

The Administrative Assistant will be responsible for performing administrative activities and requires attention to detail and the ability to work in a fast paced environment providing support to two service centers. The ability to problem solve with a proactive and positive approach to assisting others while maintaining exceptional client satisfaction.

Requirements

  • Associates Degree in Business Administration or any related field
  • Minimum 5 years of administrative experience in manufacturing environment
  • Proficient in word processing, spreadsheet and database computer skills, specifically in Google platforms (Google Docs, Sheets, Slides)
  • Must be computer literate
  • Safety Consciousness: Demonstrates a commitment to upholding safety protocols and fostering a secure work environment.
  • Attention to Detail: It requires the meticulous adherence to established procedures, ensuring every step is followed precisely as outlined. This includes the diligent completion of all necessary checklists, serving as a systematic verification of tasks performed and mitigating the risk of oversight. Furthermore, a strong commitment to performing thorough quality control checks is essential. This involves critically evaluating work outputs to identify and rectify any deviations from established standards, ultimately contributing to the delivery of high-quality results and operational excellence.

Responsibilities

  • Provide administrative support: typing reports/presentations, managing schedules/calendars, coordinating training registration, and arranging travel.
  • Coordinates mail (postal service, intercompany, private carrier)
  • Orders, receives and maintains inventory of office supplies
  • Assists managers with hiring and staffing service centers
  • Assist the team with budget tracking, goods-receipt and other metric recording
  • Assist the team with time tracking (Kronos) and reporting
  • Assist with monitoring, maintaining and follow-up of day to day operational record keeping
  • Adhere to all work-related health, safety, and SOPs, including the Occupational Health and Safety Act.
  • Following up on and resolving payment issues in collaboration with the procurement team
  • Preparing Purchase Orders (POs)
  • Updating SAP for Goods Receipts
  • Managing inventory and purchasing monthly office supplies, water, and cleaning supplies
  • Preparing Purchase Requisitions (PRs) and sending POs for training-related expenses, if applicable
  • Ensuring payment of all plant-related bills (water, electricity, city-related bills)
  • Assisting in planning and scheduling meetings and events
  • Other tasks related to indirect purchasing
  • Managing and processing employee timesheets at the site level in collaboration with the payroll team (including preparing and ensuring timesheets are accurate before/or pay period ends, assisting with time tracking and reporting)
  • Assisting the site manager with daily activities
  • Collaborating with plant personnel
  • Other duties as assigned
