About The Position

THIS IS A TEMPORARY EMPLOYMENT OPPORTUNITY Position Summary: The Administrative Assistant provides onsite administrative support directly to the client and program leadership team. This role is responsible for ensuring efficient day-to-day operations through professional coordination, documentation management, scheduling support, and general administrative assistance. The Administrative Assistant will report to the Project Manager.

Requirements

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to communicate clearly and appropriately over the phone and in writing.
  • Must have exceptional organizational and time management skills.
  • Ability to learn new computer applications including video conferencing on various platforms
  • Must have a high school diploma or equivalent; Associate degree preferred.
  • Minimum of one (1) year of administrative experience.

Nice To Haves

  • Experience supporting government, disaster recovery, or grant-funded program setting is preferred.

Responsibilities

  • Provide onsite administrative support to client representatives and program leadership.
  • Maintain a professional presence within the client’s office environment.
  • Coordinate meetings, conference calls, and virtual meetings as directed.
  • Prepare meeting materials, and follow-up documentation.
  • Prepare, format, and proofread correspondence, reports, and presentations.
  • Maintain organized electronic and physical filing systems.
  • Develop, enter and maintain data in tracking systems or databases.
  • Gather and analyze information.
  • Assist with time tracking.
  • Perform financial audits or reviews, process bills/vouchers, reimbursement requests, and receivables as needed.
  • Produce briefing and training materials.
  • Monitor and support travel coordination and travel documentation.
  • Perform other administrative duties as assigned.
  • Complete all required training.
