The Wellness Center is comprised of Wellness Programming, Medical Services, Counseling Services, and Accessibility Services. The Administrative Assistant’s office is located in the newly renovated and accessible Blackwell-Quattlebaum Center for Wellness and Counseling services, which houses Programming, Medical, and Counseling Services. Accessibility Services is located in the Sandor Teszler Library. Wellness Center staff include the Director of the Wellness Center, two Nurse Practitioners, a Registered Nurse, the Director of Counseling Services, two Mental Health Counselors, the Director of Wellness Programming, and the Accessibility Services Manager. Reporting to the Director of the Wellness Center, the Administrative Assistant is responsible for providing specialized administrative support for all departments in the Wellness Center. The Administrative Assistant will encourage a supportive and inclusive environment aligned with the values of the office and Wofford College. The Administrative Assistant is a 10-month, Full-Time, In Person, nonexempt position (40 hours/week during the academic year, as well as 130 hours in the 13 weeks of the summer). Normal office hours are 7:30am to 4:00 pm Monday through Friday; however, hours may vary to include evenings and weekends, contingent up on campus activities, and special events.

Requirements

  • Bachelor’s or Associate’s Degree preferred
  • Prior clerical or administrative experience required
  • Excellent customer service and telephone skills required
  • Computer proficiency required
  • Ability to work in a cooperative team spirit
  • Excellent written and oral communication skills required
  • Ability to exercise good judgment and handle confidential information in a discrete and professional manner
  • General knowledge of HIPAA guidelines related to Protected Healthcare Information (PHI)
  • Strong organizational skills, including the ability to prioritize a variety of tasks

Responsibilities

  • Serve as a representative of the Wellness Center to all students, faculty, staff, parents, and guests entering the Blackwell-Quattlebaum Center for Wellness and Counseling Services, as well as through email and telephone.
  • Maintain a welcoming environment, supporting those in distress with empathy and a nonjudgmental approach.
  • Respond to all communication in a prompt and professional manner.
  • Reliably maintain consistent office hours.
  • Assist in the operations of all departments in the Wellness Center (programming, medical, counseling, and accessibility services) and provide administrative support for departmental workflow.
  • Be knowledgeable about all services and operations in the Wellness Center and assist others with accessing those services.
  • Manage busy provider schedules (medical and counseling) and book appointments as needed.
  • Update and process information for health records on an ongoing basis.
  • Manage the budget for the Wellness Center, which includes payment of invoices, receiving payments from patients and maintaining accurate records.
  • Triage and channel incoming calls, emails, and visitors.
  • Maintain and order office supplies for all departments within the Wellness Center.
  • Serve as the point of contact for all office equipment and building maintenance.
  • Serve as liaison with Medicat (Electronic Medical Records software).
  • Adhere to HIPAA and FERPA regulations for privacy protection.
  • Enter and manage data within departmental and institutional software for ongoing use and periodic assessment.
  • Provide specialized assistance to the Director of the Wellness Center for the operation of the department.
