LDF is seeking an experienced Administrative Assistant to join their team at the Tulsa, Oklahoma location. This role serves as a critical support partner to the EVP/General Manager and the Oklahoma leadership team, acting as the front-facing ambassador of LDF while ensuring the office operates smoothly, professionally, and hospitably. The position combines office management, administrative execution, customer service, and analytical capabilities, with significant potential for growth and expanded responsibilities. The Administrative Assistant is expected to adhere to the LDF TRUE values daily.

Requirements

  • Strong organizational and prioritization skills
  • Strong Customer service acumen with software capability
  • Intellectual curiosity and desire to learn
  • Proficiency with Microsoft 365 (Excel, Word, PowerPoint, Copilot)
  • High school diploma

Responsibilities

  • Provide direct administrative and organizational support to the EVP/General Manager
  • Support GM priorities, projects, and meeting preparation
  • Create meeting slide decks and presentation materials
  • Support EAC operations; act as Secretary as needed
  • Manage ABLE renewals
  • Assist with potential reset drawings and coordination
  • Tracking and maintaining metrics/data across multiple departments.
  • Support Total Wine administration pricing functions.
  • Perform other duties as determined and directed by the EVP/GM
  • Serve as Office Manager ensuring a professional environment
  • Manage office budgets and administrative expenses
  • Order and manage office supplies
  • Maintain the copy room
  • Coordinate conference room scheduling and setup
  • Manage mail coordination
  • Handle business card ordering
  • Manage phone routing
  • Serve as the first point of contact for visitors and callers
  • Maintain a hospitality-first mindset
  • Represent the professional front face of LDF
  • Generate memos, forms, and reports
  • Manage gratis sheets
  • Provide QA organization and quality assurance support
  • Assist with driver’s license and medical certification card support
  • Support employees with payroll and benefit inquiries
