About The Position

For over 100 years, Maguire has been an industry leader in the fabrication, construction, and maintenance of water storage tanks and elevated water towers. The Administrative Assistant at Maguire will support multiple departments by performing clerical and administrative functions.

Requirements

  • High School Diploma or equivalent; five years of related experience in fast paced construction environment preferred.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office and ability to learn new programs.
  • Excellent verbal and written communication skills.
  • Team oriented person who can focus on the details.
  • Professional attitude when dealing with internal and external customers.

Responsibilities

  • Answers, screens, and transfers phone calls from external sources and internal transfers.
  • Welcomes and directs visitors and clients visiting the Maguire Sioux Falls campus.
  • Maintains filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Data entry into ERP systems
  • Responds to and resolves administrative inquiries and questions across the company for both on-campus team members and remote staff.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Prepares meeting agendas and offers administrative support for business meetings.
  • Prepares, maintains and sends company-wide announcements.
  • Records and distributes minutes or other records for meetings.
  • Maintains office supplies on campus and coordinates maintenance of office equipment.
  • Prepare mailings and shipping services, including daily mail runs.
  • Organize catering and food deliveries for company events.
  • Leads special project(s) as assigned.
