Requirements

  • Minimum of 2 years administrative experience
  • Proven ability to work with limited supervision
  • Exhibits a professional and welcoming front office presence
  • Must have excellent time management skills, and ability to coordinate with all levels of staff and handle multiple tasks
  • Strong proof reading and editing skills and grammar
  • Proficient in Word, Excel, and Outlook
  • Dependability/Reliability is a must

Responsibilities

  • Provide front desk administrative support to multiple departments within a Civil Engineering and Design firm
  • Greet clients, answer and appropriately direct a moderate amount incoming calls, and manage daily office operations
  • Coordinate new hires regarding office space, computer/phone equipment, and supplies
  • Oversees purchase of office supplies and overall front office activities
  • Coordinate food ordering, catering, and room settings (20-25 monthly)
  • Set up and clean-ups for breakfast, lunch, and office events
  • Make travel arrangements and conference reservations as needed (5-6 monthly)
  • Respond to inquiries and informational requests
  • Assist with composing, compiling, and binding marketing materials for project pursuits
  • Prepares FedEx, UPS, and other express carrier packages for shipment
  • Other duties as assigned and uses greater judgement and initiative to determine the approach or action to take in non-routine situations
