About The Position

The Administrative Assistant is a key member of the concierge team, serving as the lead customer service ambassador for designated Paley Institute physicians. This role is primarily responsible for office and surgical scheduling, calendar management, and warmly greeting all patients and their guests visiting the Paley Institute. The position acts as a primary point of contact, taking a lead role in coordinating the surgical schedule, assisting front-desk concierge operations for assigned physicians, and collaborating closely with the Institute’s Practice Manager and Physician Staff. The Administrative Assistant is accountable for ensuring the designated physician staff's calendar is consistently current, accurate, and detailed. They will oversee one or more scheduling projects of significant importance and delegate necessary administrative support. This role consistently demonstrates teamwork and serves as a role model for other administrative staff, setting the standard for providing the highest quality of service and positive impression during each patient interaction. Responsibilities

  • Serve as the lead customer service ambassador for designated Paley Institute physicians
  • Manage office and surgical scheduling
  • Perform calendar management for designated physician staff
  • Warmly greet and welcome all patients along with their families, friends, guests and colleagues who visit the Paley Institute
  • Serve as a primary point of contact, assuming a “lead role”
  • Coordinate the surgical schedule
  • Assist front-desk concierge operations for assigned physicians
  • Work in close collaboration with the Institute’s Practice Manager and Physician Staff
  • Ensure that the calendar for the designated physician staff is consistently current, accurate and detailed
  • Oversee one or more scheduling projects of significant importance to the institution and/or the community
  • Delegate necessary administrative support to the assigned physician staff
  • Consistently demonstrate teamwork and serve as a role model for the other administrative staff
  • Set the standard for providing the highest quality of service and positive impression during each patient interaction
