About The Position

The Administrative Assistant plays a vital role in supporting the Department of Medical Education by providing comprehensive administrative and clerical assistance to the Department Chair, Director, and Registrar. This position is responsible for maintaining accurate student records, managing academic documentation, coordinating departmental logistics, and serving as a point of contact for students, faculty, and staff.

Responsibilities

  • Maintain and organize permanent academic records in accordance with institutional standards.
  • Assist with grade tracking, data entry, and related academic record management.
  • Process course schedule changes and updates efficiently.
  • Handle medical education verification requests promptly and accurately.
  • Manage both electronic and physical filing systems to ensure accessibility and security.
  • Support exam administration, including proctoring and coordinating accommodations for students.
  • Generate reports for internal stakeholders and external agencies as directed.
  • Provide administrative support to the Department Chair, Director, and Registrar, including calendar management and correspondence.
  • Prepare materials and communications for departmental meetings and events.
  • Schedule meetings, classes, and departmental activities; coordinate room reservations and prepare agendas.
  • Monitor departmental email accounts, respond to student inquiries regarding enrollment, records, and scheduling, and route other communications appropriately.
  • Receive and distribute incoming mail and deliveries.
  • Digitize and maintain student files in compliance with institutional policies and data privacy regulations.
