About The Position

Freedom Detox, part of Pyramid Healthcare, is seeking a dependable and detail-oriented Administrative Assistant to support daily operations at our Gastonia, NC facility. This role is essential to maintaining an organized, welcoming, and efficient front office while supporting clinical and administrative teams.

Requirements

  • High School Diploma or GED required
  • Previous administrative assistant or secretarial experience preferred
  • Strong computer, phone, and office technology skills
  • Excellent organizational skills and attention to detail
  • Maintain confidentiality and compliance with HIPAA, licensing, and CARF standards
  • Handle all calls and messages with professionalism, courtesy, and a positive attitude
  • Work collaboratively with clinical and administrative staff
  • Support the overall effectiveness of the clinical program
  • Complete required trainings and mandatory education hours
  • Demonstrate strong organizational skills and the ability to multitask in a fast-paced environment

Nice To Haves

  • Previous administrative assistant or secretarial experience preferred

Responsibilities

  • Manage and maintain the facility’s front office, ensuring a professional and welcoming environment
  • Schedule and coordinate all client appointments
  • Maintain medical records, including filing, transcription, and transfer of records
  • Perform general clerical duties such as answering phones, typing, copying, faxing, mailing, and filing
  • Assemble, update, and maintain client admission packets
  • Order and manage office and client supplies
  • Assist with intake processes, billing sheets, census tracking, and intake/discharge logs
  • Communicate with referral sources in a professional and timely manner
  • Process check requests and manage petty cash
  • Attend staff meetings and accurately record meeting minutes
  • Maintain office equipment and coordinate with vendors for repairs or maintenance
  • Ensure cleanliness, organization, and overall appearance of the office
  • Maintain policy and procedure manuals
  • Complete required reports and administrative documentation
  • Perform other duties as assigned
