Requirements

  • 2+ years of administrative or office management experience
  • Associate’s degree in business administration or a related field preferred; additional experience may be considered in place of education
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Working knowledge of office equipment (e.g., printers)
  • Strong customer service orientation
  • Exceptional attention to detail and organizational skills
  • Excellent interpersonal and communication skills
  • Ability to effectively prioritize and manage multiple tasks
  • Experience with ordering supplies and coordinating vendors
  • Experience managing meetings and events, including logistics and scheduling
  • Ability to sit for extended periods of time
  • Ability to lift and transport moderately heavy objects, such as paper copier boxes and cases of water

Responsibilities

  • Oversee all functions related to the reception area and overall office operations
  • Manage office and snack supplies, including ordering, tracking, expense reporting, and storage
  • Coordinate facility needs, including communication with building management and external vendors
  • Handle all mail and shipping (USPS, UPS, FedEx, etc.)
  • Provide administrative support across departments as needed
  • Draft internal communications, emails, letters, and responses to inquiries from clients and vendors
  • Serve as the primary point of contact for incoming calls, visitors, and correspondence
  • Coordinate meetings and special events, including logistics, food ordering, reservations, and room setup
  • Maintain and manage office equipment and supplies (e.g., printers, mail systems)
  • Coordinate business card orders for new hires and office needs
  • Manage calendar scheduling for the CEO
  • Perform other duties as assigned to support the needs of the office and team
