THE OPPORTUNITY We are seeking a highly organized and proactive Administrative Assistant to support the Plant Director and plant leadership team. This role plays a critical part in ensuring clear communication, efficient administrative operations, and a welcoming, professional environment for employees, visitors, and external partners. This is a dynamic role with the opportunity to help shape administrative processes as the organization grows. The Administrative Assistant will work closely with leadership, HR, and the Executive Administrator to support communications, reporting, training coordination, employee events, and onboarding activities.

Requirements

  • Associate's degree in business administration or a related field required; Bachelor's degree preferred.
  • 3-5 years of administrative or office support experience preferred.
  • Strong organizational, communication, and time-management skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • A professional, collaborative mindset aligned with RS values of Safety, Respect, Resilience, Teamwork, Integrity, and Quality.

Nice To Haves

  • Experience in a manufacturing or industrial environment is a plus.

Responsibilities

  • Coordinate internal and external communications, including memos, announcements, newsletters, presentations, and electronic media.
  • Partner with the Plant Director to develop presentation materials for facility-wide communications, senior leadership, and executive audiences.
  • Support coordination of community and employee engagement events in collaboration with plant leadership.
  • Administer and coordinate employee training activities, ensuring required training is completed, current, and properly documented.
  • Track training records and partner with the HR department to maintain accurate and compliant documentation.
  • Coordinate training schedules with employees and managers and ensure all related paperwork is completed and filed.
  • Serve as the first point of contact for visitors, vendors, and personnel, ensuring professional and welcoming experience.
  • Assist with new hire onboarding and employee welcome activities.
  • Answer, screen, and route incoming phone calls and correspondence.
  • Maintain and update employee contact information and administrative records.
  • Create and distribute content and materials across multiple communication channels to support plant operations.
  • Act as an Employee Ambassador, supporting initiatives that reinforce RS Technologies as an Employer of Choice.
