About The Position

Heartbeet Lifesharing is looking for an Administrative Assistant who is highly organized, motivated, and passionate about Heartbeet’s mission. The ideal candidate will have an aptitude for undertaking various administrative tasks including organizing, filing, directing calls, and other office-related activities. In this role, the right individual will be working directly with the Licensing and and Compliance Manager and HR and Admissions Manager to help ensure compliance within the Therapeutic Community Residence license held by Heartbeet Lifesharing.

Requirements

  • 18+ Years of Age
  • High School Diploma (or equivalent)
  • Valid U.S. Driver’s License
  • I-9 Employment Eligibility Verification
  • Must Pass Required Background Checks for Position
  • Excellent verbal communication skills and interpersonal skills
  • Ability to develop and maintain effective working relationships with others
  • Demonstrated ability to work both independently and as part of a team
  • Self motivated and driven with the ability to organize and complete tasks
  • Willingness to accept supervision, coaching, and guidance from others
  • Passionate to work with individuals with differing levels of abilities and needs
  • Positive attitude and excitement to join a mission-driven organization
  • Reliable and able to adapt to changing conditions
  • Experience in an administrative role
  • Solid understanding of computer systems and office organization
  • The ability to take on multiple “as needed” assignments
  • The ability to exercise good judgment with regard to sensitive and confidential information
  • The ability to work independently with direction as needed
  • Must have strong written/verbal communication skills, organizational skills, attention to detail and ability to prioritize work assignments
  • Working knowledge of Google Suite products

Responsibilities

  • Carrying out a range of duties to support Heartbeet's Licensing and Compliance office and the Human Resources and Admissions office
  • Scanning, printing, distributing and organizing documents
  • Filing both paper and electronic files
  • Filing, organizing and maintaining documents on a regular basis
  • Answering and directing incoming calls, taking down messages, and relaying information to the appropriate parties
  • Auditing/reviewing files for accuracy, completeness, and compliance
  • Maintaining Heartbeet email inboxes by fielding and forwarding all incoming communications to appropriate individuals or groups
  • Helping to maintain general office organization, maintenance, and cleanliness
  • Other duties as assigned
