About The Position

This role will serve as the primary point of contact for visitors, clients, staff and external partners, creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness and communication while providing administrative support.

Requirements

  • Proven experience as an Administrative Assistant, Office Assistant or similar role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with Builder Software (i.e. MarkSystems, InSearch)
  • Excellent time management skills and the ability to prioritize tasks.
  • Strong organizational skills with a keen attention to detail.
  • Excellent verbal and written communications skills.
  • Ability to work independently as well as part of a team
  • High level of discretion and confidentiality.

  • Collaboration with internal and external customers.
  • Ability to think through processes and job task sequencing/critical timeline scheduling.

Responsibilities

  • Greet visitors and clients, assist with client inquires and resolve issues promptly while providing a warm and professional first impression.
  • Manage and direct phone calls, emails, other correspondence and confidential information with discretion and professionalism.
  • Support other departments with various administrative tasks, preparing presentations, builder reports and other documents.
  • Process invoices, receipts and other financial documents and assist with tracking expenses and preparing related reports while maintaining accurate and up to date filing systems (both physical and digital).
  • Maintain a clean, organized and efficient office environment, order office supplies, manage inventory and coordinate office maintenance repairs as needed
  • Performs other projects and duties as assigned.
