About The Position

The Administrative Assistant is primarily responsible for supporting the Housing Department and the Director of Housing with general office duties, including, but not limited to: answering phones, filing paperwork, copying, typing correspondences and agendas, coordinating calendars, travel, taking minutes at meetings as directed, and other clerical and administrative functions, as assigned. The position requires excellent communication skills, customer services skills, professionalism, and the ability to work as an integral member of the team. Applicants must be detailed oriented and able to multi-task various time-sensitive projects.

Requirements

  • Must be over 18 years of age
  • Must have a high school diploma or GED
  • Must have a valid Driver License
  • Must pass a background check
  • Must pass a pre-employment alcohol/drug screening
  • Thorough knowledge of computer programs: Word, Excel, PowerPoint, Outlook, Internet programs and applications.
  • Must maintain confidentiality.
  • Must be dependable.
  • Must demonstrate friendly, service oriented and responsible attitude.
  • Must be able to communicate effectively.
  • Must be detail oriented and have great organizational skills.
  • Must be able to prioritize projects, perform tasks in a time sensitive, hi-volume environment, and take direction.
  • Must have the ability to multi-task projects and assignments.
  • Must be able to follow verbal and written instructions of supervisor.
  • Must have the ability to establish and maintain effective work relationships.
  • Must be flexible and willing to quickly respond to the needs of the department.
  • Must be a team player.

Responsibilities

  • Receive phone calls professionally and direct them to the appropriate person or department.
  • Respond to general inquiries concerning the Moapa Band of Paiutes Housing Department.
  • Arranges meetings and conference calls for the department.
  • Coordinate office correspondence.
  • Provide attention to details and the accuracy of office duties.
  • Demonstrate time management skills, focus on accuracy, and timely completion of assigned tasks.
  • Mail all correspondence in a timely manner.
  • Type letters, memos, correspondence and other tasks assigned by the department.
  • Process invoices and check requests to the Finance Department.
  • Update financial information, update reports, update budgets, and prepare financial reports as requested by management.
  • Maintain office files according to the established filing system.
  • Maintain office equipment and supplies.
  • Manage staff travel & reimbursements according to the policy and procedure manual.
  • Communicate activities and performance to director.
  • Support other housing team members.
  • Other duties, as assigned.
