About The Position

The Administrative Assistant will provide clerical support to the Tribal Works Department and ensures that efficiencies and needs of the department are met. Performs work assigned by the Director indicating the objective to be achieved, priorities and deadlines.

Requirements

  • Requires a high level of personal integrity and ethics
  • Requires a high level of problem solving skills
  • Requires the ability to use all Microsoft Office Suite programs and internet
  • Must possess excellent and accurate typing skills
  • Requires proficient use of office equipment (Voice messaging system, Fax, Copier, Computer)
  • Requires good interpersonal communication and team work skills
  • Must be able to pass a criminal background check
  • Must be able to pass drug/alcohol testing
  • Must have a clean driving record and valid license – may be required to drive GSA or tribal vehicles

Nice To Haves

  • Associate’s Degree in Business, Management or related field or at least 1 to 2 years of office environment experience preferred

Responsibilities

  • Ensures front line coverage at all times (i.e., walk-in and mainline phone)
  • Answers telephones appropriately (courteous at all times)
  • Utilizes facilities management software- receives work orders and updates software as needed
  • Receives, reviews, sorts, and logs all incoming correspondence
  • Distributes internal and external mail
  • Receives and distributes phone messages and follows up on all messages
  • Schedules appointments for administrative staff and technicians as needed
  • Assists with records management and retention
  • Provides special administrative assistance on projects and work overflow
  • Performs data entry ensuring accuracy of information collected
  • Develops a consistent work flow, sets goals, creates and implements action plans, and monitors progress towards individual goals
  • Performs all job functions efficiently and responsibly
  • Other duties as assigned by the Director
