About The Position

Mechanic Refrigeration Company (MRC) is seeking an Administrative Assistant to support our maintenance and service operations. This role is a key link between the office, field technicians, and customers—helping keep billing, scheduling, and job documentation accurate and on track. The ideal candidate is organized, detail-oriented, communicates well, and is comfortable working in a fast-paced, blue-collar service environment.

Requirements

  • Strong organization, time management, and attention to detail
  • Professional, clear communication skills (phone, email, and internal coordination)
  • Comfortable multitasking and working with deadlines
  • Proficiency with basic office software

Nice To Haves

  • Previous admin/support experience in service, construction, HVAC-R, or a similar trade environment is a plus

Responsibilities

  • Manage and process maintenance billing, ensuring accurate invoicing and timely documentation
  • Communicate with field technicians and customers to coordinate maintenance schedules, updates, and job completion
  • Use QuickBooks to create purchase orders (POs), generate job numbers, and track related job documentation
  • Answer and direct incoming phone calls, assist customers, and route inquiries to the correct team member
  • Maintain organized records for preventive maintenance (PM), invoices, and purchase orders
  • Support ongoing communication between the office, technicians, and customers to ensure smooth service operations
