The Position: Due to an internal promotion we are hiring an Administrative Assistant. The Administrative Assistant is primarily responsible for ensuring that our office operations run smoothly. A successful Administrative Assistant will provide overall support to the organization and structure of the office environment, attend to and communicate with visitors on the phone and face to face, take pride in the office space, and understand that this role is critical to the success and reputation of Tailwind Group. This is a full-time position working a standard schedule, Monday - Friday from 8:00am to 4:30pm. Nights or weekends may be required from time to time dependent on business needs. The compensation range for this position is $20.00 - $22.00 per hour plus bonus potential. This range is determined by current market data based on the position requirements and complexities. Final offers of employment will be based on multiple factors including candidate education, skills, experience, and location. Requirements

  • Two or more years of experience working as an Administrative Assistant, Office Manager, or similar role.
  • High school diploma or equivalent; Associate or Bachelor’s degree preferred.
  • Demonstrated ability to work in a growing, fast-paced environment managing multiple projects simultaneously.
  • Possess strong administrative, organization, and communication skills.
  • Demonstrate a high level of integrity and professionalism.
  • Ability to handle confidential information with discretion.
  • Be a self-motivated individual and excel at working in a team environment.
  • Proficient in all Microsoft Office programs: Excel, Word, PowerPoint, and Outlook.
  • A valid drivers license and consistent access/ownership of a reliable vehicle.

Responsibilities

  • Demonstrate excellent customer service during each encounter with clients, prospects, vendors, officials, and community members.
  • Great all persons entering the office in a friendly and professional manner.
  • Escort guests to throughout the office and ensure they feel welcome and comfortable.
  • Answer calls consistently and professionally and work diligently to understand who the call should be directed to.
  • Receive and sort mail and deliveries and manage outgoing mail procedures for the office.
  • Prepare and deliver reports, charts, budgets, and other presentation materials as directed by senior leadership.
  • Coordinate scheduling of conference rooms and ensure proper set up for meetings.
  • Monitor office and kitchen supplies inventory, place orders, and pick up as needed.
  • Monitor office common areas, amenities, and other areas for superior appearance, general cleanliness, and organization.
  • Assist with preparing and coordinating welcome, anniversary, and birthday gifts for employees.
  • Organize office gatherings such as potlucks and gift exchanges and ensure proper communication around these events.
  • Manage and book designated senior leadership travel scheduling or hotel reservations.
  • Prepare and coordinate logistics for regularly scheduled senior leadership meetings and events, including scheduling, making reservations, and ordering meals.
  • Assist in calendar management and scheduling for senior leadership.
  • Complete work-related errands including but not limited to, shopping for inventory, dropping off mail and packages, and picking up other orders.
