Team members work together to coordinate services, support continuity of care, and ensure that each individual receives timely, appropriate support tailored to their unique needs. Position Overview The Administrative Assistant plays a critical role in ensuring smooth office operations while providing a welcoming and supportive experience for members initiating services. This position works closely with clinical staff and leadership to support scheduling, coordination, and daily administrative functions.

Requirements

  • High school diploma or equivalent
  • 1–3 years of administrative, medical office, or healthcare support experience
  • Strong organizational and time-management skills
  • Professional communication and customer service abilities
  • Demonstrated ability to handle sensitive information with discretion and confidentiality

Nice To Haves

  • Experience in healthcare, behavioral health, or human services settings
  • Familiarity with scheduling systems or electronic health records
  • Experience working in fast-paced service environments
  • Strong working knowledge of Google Workspace (Calendar, Gmail, Docs, Sheets, Drive) strongly preferred

Responsibilities

  • Serve as the first point of contact for individuals and families seeking services
  • Greet visitors and create a welcoming, respectful environment
  • Answer phones and respond to inquiries professionally and confidentially
  • Assist with intake processes and routing members to appropriate staff
  • Coordinate calendars for providers and staff
  • Schedule appointments and manage schedule changes
  • Confirm appointments and assist with reminders
  • Perform general office duties including filing, data entry, and document management
  • Maintain accurate records and ensure confidentiality of protected information
  • Monitor office supplies and assist with ordering
  • Support compliance and documentation workflows
  • Support a multidisciplinary team including clinicians, care coordinators, and administrative leadership
  • Assist with communication between departments
  • Contribute to a professional, team-oriented work environment
