This position will support c-suite and other senior management and oversee general office functions in the Indianapolis office. The position requires someone who is organized, responsive, flexible, and adaptable. They will assist with general office functions such as greeting visitors, ordering supplies, catering, and other administrative support as assigned. The Administrative Assistant will report directly to the Executive Assistant / HR Assistant

Requirements

  • High school diploma or equivalent, Associate’s degree a plus.
  • Past administrative experience or tenure in an office setting a plus.
  • Highly organized, with the ability to multi-task and handle pressure well.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Ability to think through a project and execute independently from beginning to end.
  • Fully proficient in MS Office (Outlook, Word, PowerPoint, Excel, and Teams) and video conferencing.
  • Warm personality with strong communication skills.
  • Presents a positive and professional image for the organization.
  • Excellent professional ethics, integrity, and ability to maintain confidential information.

Nice To Haves

  • Previous experience in a start-up company preferred, especially biotech industry experience.

Responsibilities

  • Provide administrative support across multiple business functions and to the senior management team based in Indianapolis.
  • Handle confidential and non-routine information and facilitate team communication.
  • Assist in coordinating logistics for on and off-site internal and external meetings and conferences.
  • Oversee general office functions: This includes managing office and breakroom supplies, incoming mail, visitor reception area, organizing and maintaining office common areas.
  • Order and stock office supply areas, utilizing point purchasing.
  • Welcome visitors and direct them to the relevant office/personnel.
  • Distribute and manage incoming USPS office mail as required.
  • Coordinating logistics for weekly lunches, including room setup, catering, and clean-up.
  • File management: Organizing files, including virtual documents, and maintaining company records.
  • Office equipment: Handling office equipment, such as copiers, projectors, and meeting room equipment.
