About The Position

Coffman is looking for an Administrative Assistant who will play a key role in supporting our Corporate Human Resources team. This role is ideal for an administrative professional who has five years of experience and views administration as a long‑term career and takes pride in providing consistent, high‑quality support. The successful candidate will help keep our employee records organized and accurate, ensure our data stays reliable, and be an important part of making our HR operations and events run smoothly. Your attention to detail and teamwork will make a real difference in our day-to-day success

Requirements

  • Must possess exceptional attention to detail.
  • Able to multi-task and prioritize in a fast-paced environment.
  • Ability to accurately type at least 50 wpm.
  • Familiarity with advanced features of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneNote, Teams, Copilot).
  • Possess strong critical thinking, organizational, and analytical abilities.
  • Maintain positive working relationships with internal and external customers.
  • Excellent verbal, written and interpersonal communication skills.
  • Able to work independently as well as on teams.
  • Some familiarity with HR-related laws and regulations.
  • Maintaining confidentiality is required.
  • Positive contributor to overall office and department goals, culture, and morale.
  • High School diploma or equivalent (GED); two-year degree preferred.
  • 5+ years of related experience.
  • Experience with Microsoft Office applications required.

Nice To Haves

  • Experience with Microsoft Dynamics F&O a plus.

Responsibilities

  • Routine filing and file management. Must be able to maintain strict accuracy in a complex filing system.
  • Perform personnel file and other HR-related documentation audits.
  • Coordinate with local office HR team members and employees to maintain accurate employee records.
  • Accurate and timely data entry and recordkeeping in HR and HR-related systems and tools.
  • Creation of Word documents, Excel spreadsheets, PowerPoint presentations, and other reports.
  • Receive, scan, and distribute HR mail and special deliveries; coordinate and prepare outgoing mail and special deliveries as needed.
  • Plan, schedule, and coordinate HR-related events including meetings, trainings, HR summits, HR team activities, and other events.
  • Conduct research for special projects as needed.
  • Assist with invoice submission as needed.
  • Performs other duties as may be assigned.
