About The Position

Unbolt, Inc is seeking a detail-oriented and organized Administrative Assistant to join our team in Jackson, WI. This role is essential to supporting the daily operations and ensuring smooth communication across multiple powersports & boat dealerships. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Process manufacturer-based invoices for dealerships including packing slips, warranty claims, rebates, hold-backs, and miscellaneous. Stock into inventory new, manufacturer accounts payable statements for dealerships Reconcile and pay monthly manufacturer accounts payable statements for dealerships. Reconcile and pay all other accounts payable statements for dealerships including parts suppliers, after-market warranty companies, credit card statements, etc. Use manufacturer dealer portals to submit documents, record sales, and research discrepancies for dealerships. Ensure collection of manufacturer-based accounts receivables including rebates, hold-backs, and warranty claims. Ensure collection of bank/credit union funding for financed deals. Occasional travel to dealerships to fill-in for absences, assist other office staff, or meet with department managers regarding completion of above tasks. Collaborate with accounting team to ensure proper classification and booking of all general ledger transactions. Other duties as assigned.

Requirements

  • Ability to apply basic mathematical concepts used in spreadsheets, graphs, etc .
  • Have basic mathematical knowledge including the ability to utilize percentages, decimals, and fractions.
  • Attention to detail, strong organizational aptitude, time management, consistently meeting deadlines and handling important information are requirements of the position .
  • Identifies and resolves problems in a timely manner.
  • Gathers, analyzes information, and skillfully develops alternative solutions.
  • Work at a highly confidential level.
  • Ability to use, or learn how to use, dealership accounting software such as Lightspeed EVO.
  • Computer skills and ability to learn company software
  • Proficient in Microsoft Office products
