About The Position

The Administrative Assistant performs a variety of clerical and administrative duties to the Career Development Director. This includes handling routine telephone calls and visitors, routing non-routine business to appropriate staff, and producing information through transcription, formatting, input, editing, retrieval, copying, and transmission of text, data, and graphics. The role involves maintaining calendars, scheduling appointments, attending meetings, preparing and distributing minutes, and acting as a liaison between the manager/supervisor and other center staff. Key administrative tasks include maintaining correspondence control logs, managing incoming and outgoing mail, following up on action items, arranging meetings, and keeping the Career Training Director informed of commitments. The assistant is also responsible for preparing special reports, maintaining files and records, managing statistical data, making travel arrangements, typing correspondence, updating residential schedules, and maintaining student incentive and performance evaluation scheduling systems. Additional duties involve scheduling students into academic and vocational classes, meeting performance standard goals, adhering to property control policies, maintaining good housekeeping and safety practices, and ensuring compliance with various regulations and policies. The position also requires maintaining accountability of students and property, managing classroom supplies, scheduling substitutes, and continuously reinforcing student employability skills. The individual must demonstrate and abide by Serrato Corporation's core values, model Career Success Standards, and participate in mandated staff training.

Requirements

  • Proficiency with Microsoft Office applications including Word, Power Point, Outlook, and Excel.
  • Computer literacy with basic computer functions, email, internet, and basic programs such as Adobe Acrobat.
  • Extensive knowledge of standard office practices and procedures.
  • Skill in operation of variety of office machines.
  • High level of communication, interpersonal, and organizational skills.
  • Ability to work in fast-paced, deadline-oriented situation.
  • One-year secretarial experience.
  • High school diploma or equivalent.
  • Valid State Driver's License.

Responsibilities

  • Perform a variety of clerical and administrative duties to the Career Development Director.
  • Receive telephone calls and visitors; handle routine matters personally and route non-routine business to proper staff for consideration.
  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Maintain calendar and schedule appointments.
  • Attend meetings and prepare and distribute minutes of these meetings.
  • Act as liaison between manager or supervisor and other center staff.
  • Maintain correspondence control log, receive incoming and outgoing mail and follow-up on dates for action items.
  • Arrange meetings and appointments and keep the Career Training Director advised of scheduled appointments and commitments.
  • Perform a variety of clerical and administrative duties; preparation of special reports, maintain files and records, statistical data, and make travel arrangements, as required.
  • Type correspondence and other materials, maintain and update residential schedules.
  • Maintain the student incentive system and performance evaluation scheduling system including preparation of reports, as assigned.
  • Schedule students into academic and vocational classes within compliance of the PRH.
  • Work towards meeting performance standard goals.
  • Follow CDSS plan and Code of Conduct system daily.
  • Adhere to required property control policies and procedures.
  • Maintain good housekeeping in all areas and comply with safety practices.
  • Comply with all DOL guidelines, OFCCP regulation, Quality Assurance Plan (QAP), Serrato policies and procedures, Job Corps notices and bulletins, and Center policies and procedures.
  • Maintain accountability of students and property; adhere to safety practices.
  • Maintain inventory of classroom supplies.
  • Maintain substitute list; schedule substitutes, as needed.
  • Help students become more employable through continuous reinforcement.
  • Demonstrate and abide by Serrato Corporation's core values and operating principles.
  • Model, mentor, monitor appropriate Career Success Standards.
  • Participate in PRH mandated staff training.
  • Perform other duties as assigned.
