The Administrative Assistant performs a variety of clerical and administrative duties to the Career Development Director. This includes handling routine telephone calls and visitors, routing non-routine business to appropriate staff, and producing information through transcription, formatting, input, editing, retrieval, copying, and transmission of text, data, and graphics. The role involves maintaining calendars, scheduling appointments, attending meetings, preparing and distributing minutes, and acting as a liaison between the manager/supervisor and other center staff. Key administrative tasks include maintaining correspondence control logs, managing incoming and outgoing mail, following up on action items, arranging meetings, and keeping the Career Training Director informed of commitments. The assistant is also responsible for preparing special reports, maintaining files and records, managing statistical data, making travel arrangements, typing correspondence, updating residential schedules, and maintaining student incentive and performance evaluation scheduling systems. Additional duties involve scheduling students into academic and vocational classes, meeting performance standard goals, adhering to property control policies, maintaining good housekeeping and safety practices, and ensuring compliance with various regulations and policies. The position also requires maintaining accountability of students and property, managing classroom supplies, scheduling substitutes, and continuously reinforcing student employability skills.
