About The Position

ADMINISTRATIVE ASSISSTANT JOB DECRIPTION Accounts Payable clerk process’s invoices for the dealership and make’s payments by the due date, as well as review and resolve any invoicing issues. The following duties for the position listed shall include but not be limited to; ESSENTIAL FUNCTIONS Processing accounts payable invoices and payment requests, and issuing reimbursement check. Reviewing invoices/payment request for policy adherence. Matching checks to invoices/payment request after each check run cycle. Entering invoices; entering, posting and reconciling batches; researching and resolving accounts payable or accounts receivable issues with customers or vendors. Ability to meet deadlines. Abide by all dealership policies pertaining to the department including general housekeeping. Follow company dress codes and be well groomed at all times. Any other specific duties deemed necessary for the overall success of the department and the dealership as a whole. Maintain a positive working relationship with all other managers, employees and departments Receiving all payments and receipts on a daily basis from the Sales, Service, and Parts departments, recording every transaction. Processing credit card charges daily and preparing cash deposits. Working with customers to reconcile any accounts and working with collection agencies, if necessary to obtain overdue payments. Bank deposits and maintaining petty cash system. Post and reconcile batches. Ability to meet deadlines. Abide by all dealership policies pertaining to the department including general housekeeping. Additionally, have strong mathematics, customer service and organizational skills, economics and accounting. College degree or equivalent. Proficiency with Microsoft Office applications, or the equivalent, is expected and familiarity with additional accounting software programs is valued. Evaluating information to determine compliance. Creative problem solving skills with the ability to think strategically and act tactically. Highly organized with ability to multi-task across multiple projects; excellent project management skills and attention to detail. Require strong, excellent verbal & communication skills to deal with customers, employees, and vendor. Ability to work well under pressure in fast-paced environment with multiple strict deadlines. Expert software skills including MS Word, Excel, and PowerPoint. Strong background in business, mathematics, & marketing. NON-ESSENTIAL FUNCTIONS Strong background in the motorsports industry. Computer literacy. Prior accounts payable experience is preferred. Other administrative support as needed. Minimum 5+ motorsports industry experience. Additionally, have strong mathematics, customer service and organizational skills, economics and accounting. College degree or equivalent.
