This role is based 5 days a week onsite at the Empire State Building Reserve location in Midtown Manhattan, NY.

Responsibilities

  • Completes complex administrative projects including coordinating, tracking or analyzing budgets; researching information to respond to questions; updating databases and organizational charts; creating monthly reports or analyses; organizing large volumes of materials. May research background material and collect data for reports, meetings, events and correspondence.
  • Composes general correspondence including emails and memos. Prepares charts, tables, graphs and other presentation material. Proofreads copy for spelling, grammar and layout, and makes appropriate edits.
  • Coordinates space and facilities moves and setup for new partners, including obtaining necessary computer equipment, phones, and other office supplies.
  • Organizes and schedules team and department meetings & activities, business travel, conferences. May take meeting minutes, arrange for audiovisual equipment, and sets up meeting facilities. Maintains manager or departmental calendar.
  • Performs general administrative activities including organizing and maintaining filing systems, processing paperwork and expense reports, prioritizing, distributing, and acting on mail, and supporting communications for the Roastery & Reserve director teams.
  • Serves as a point of contact for the business unit or department. Answers questions, directs requests to appropriate partners and works with other partners effectively to exchange information. May act as a host and facilitator for team and cross-functional meetings, and escorts visitors.
  • Maintains regular and consistent attendance and punctuality.

  • If you are working in CA, CO, IL, LA, ME, MA, NE, ND or RI, you will accrue vacation up to a maximum of 120 hours (190 in CA) for roles below director and 200 hours (316 in CA) for roles at director or above. For roles in other states, you will be granted vacation time starting at 120 hours annually for roles below director and 200 hours annually for roles director and above.
