SUMMARY The Administrative Assistant supports workforce development programs in meeting contracted requirements and achieving program goals. The Administrative Assistant is responsible for performing a wide range of clerical, administrative, and business support duties essential to daily operations. The Administrative Assistant serves as a key point of contact, ensuring effective communication and coordination among staff, clients, and external partners. The Administrative Assistant assists with scheduling, documentation, reporting, and data tracking to support program compliance and efficiency. The Administrative Assistant maintains confidentiality and upholds organizational policies while delivering professional and responsive administrative support.

Requirements

  • High school diploma or general education degree (GED) and one-year related experience and/or training; or equivalent combination of education and experience.
  • Must have good public relations attitude, good communication skills.
  • Required computer proficiency with Microsoft 365 utilities.

Responsibilities

  • Serve as the primary point of contact by greeting and assisting clients, staff, and partners in person, by phone, and electronically, ensuring professional and effective communication.
  • Coordinate and manage scheduling functions, including intake, orientation, and other program-related appointments.
  • Perform administrative support duties such as composing correspondence, managing incoming and outgoing mail, and maintaining accurate documentation and records.
  • Operate standard office equipment (e.g., computer, printer, scanner) to support daily program operations.
  • Assist in collecting, tracking, and preparing program data, reports, and required documentation for supervisors, funders, and audits.
  • Support file management processes, including preparing client files, reviewing documentation, and following up on discrepancies to ensure compliance.
  • Provide support for program operations and quality assurance activities, including audits, reporting requirements, surveys, and special projects.
  • Maintain confidentiality and comply with all applicable policies, procedures, and regulations (including HIPAA), while delivering customer service using tact and de-escalation techniques.
