The Administrative Assistant is a highly organized and proactive individual who provides comprehensive administrative support to the team and ensures the smooth operation of the office. The ideal candidate will be a professional and adaptable individual with a strong ability to manage multiple tasks, maintain confidentiality, and communicate effectively with all levels of the organization.

Requirements

  • Ability to provide courteous and professional assistance to the public and collaborate effectively with colleagues across all departments.
  • Demonstrated ability to multitask, prioritize, and manage time efficiently in a fast-paced environment.
  • A high degree of accuracy is critical for all tasks, including data entry and record-keeping.
  • Proven ability to follow both verbal and written instructions, complete tasks independently, and work as a productive member of a team.
  • In-depth understanding of administrative principles and practices, including the ability to maintain confidentiality and apply relevant policies and regulations.
  • Must be proficient in basic computer skills, including Microsoft Office applications.
  • Proven experience as an Administrative Assistant, Virtual Assistant, or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with office equipment, including printers, scanners, and multi-line phone systems.

Responsibilities

  • Manage and maintain executive and team calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Answer and direct phone calls, taking messages and providing information to callers in a professional manner.
  • Organize and maintain filing systems, both digital and physical, ensuring information is easily accessible.
  • Serve as the point of contact for internal and external communications, including email and written correspondence.
  • Coordinate office supplies, equipment, and services, including managing inventory and orders.
  • Assist in planning and executing company events, meetings, and conferences.
  • Handle confidential and sensitive information with the utmost discretion.
  • Perform data entry and manage databases to support various business functions.
  • Support team members with day-to-day administrative tasks and special projects.
