About The Position

Continental Properties is seeking a motivated Administrative Assistant to support our Construction, Design and Development teams at our home office in Menomonee Falls, WI. In this role, you’ll serve as a key support partner to our Construction, Design, and Development leaders, helping drive efficiency, organization, and collaboration across the team. You’ll proactively identify opportunities to streamline administrative processes, improve workflows, and keep day‑to‑day operations running smoothly. If you’re highly organized, proactive, and comfortable managing multiple priorities in a fast‑paced environment, this role is a great fit for you. We are embracing a hybrid working environment and you can work a combination of in the office and remote.

Requirements

  • Associate degree or equivalent experience in a related field
  • 2 or more years of related experience
  • Comfortable working in a fast‑paced, deadline‑driven environment with high attention to detail and strong follow‑through
  • Ability to work collaboratively across teams and support senior leaders
  • Proactive problem‑solver with a continuous improvement mindset

Responsibilities

  • Provide comprehensive administrative support to the Construction, Design, and Development teams
  • Coordinate calendars, travel arrangements, and expense reports for executives
  • Collect, review, and distribute department mail
  • Process invoices, check requests, and expense reporting
  • Maintain records related to payments, permits, and departmental expenses
  • Schedule and coordinate Investment Committee and department meetings
  • Prepare meeting materials, set up conference rooms, and track notes and action items
  • Answer and direct phone calls to the home office and route website/HubSpot inquiries appropriately
  • Manage office supplies inventory and coordinate replenishment
  • Support department events, meetings, and milestone celebrations
  • Maintain and organize department files and SharePoint records
