Now Hiring: Administrative Assistant We are currently seeking a dedicated and detail-oriented Administrative Assistant to provide high-level administrative and secretarial support to the CEO. In this role, you will do more than manage schedules and correspondence—you will help keep our leadership team organized and supported so they can focus on delivering exceptional care. Responsibilities include: Managing calendars, scheduling meetings, and coordinating conferences Preparing correspondence, reports, and presentations Coordinating direct mailings and special projects Ordering and maintaining office supplies Handling non-routine correspondence Assembling and safeguarding highly confidential and sensitive information Serving as a professional point of contact for external callers, visitors, and internal team members at all levels This position requires strong organizational skills, discretion, and independent judgment to prioritize a diverse workload effectively. The ideal candidate will be proactive, resourceful, and comfortable recommending improvements to office practices and procedures when appropriate. Requirements

  • High school diploma or equivalent; prefer some college or technical school coursework.
  • Minimum 2 years of Administrative Assistant experience required.
  • Advanced computer skills including Microsoft Office; especially Word, Excel, and PowerPoint.
  • Accurate typing of 80+ words per minute.
  • Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external.

Responsibilities

  • Schedules and organizes activities such as meetings, travel, conferences and department activities for all members of the department.
  • Maintaining schedules and calendars for multiple department heads.
  • Performs desktop publishing; creates and develops visual presentations.
  • Establishes, develops, maintains and updates filing system.
  • Organizes and prioritizes large volumes of information and calls.
  • Answers phones, takes messages or fields/answers all routine and non-routine questions.
  • Acts as a liaison with other departments and outside agencies.
  • Handles confidential and non-routine information and explains policies when necessary.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc.
  • Proofreads copy for spelling, grammar and layout, making appropriate changes.
  • Responsible for accuracy and clarity of final copy.
