OhioGuidestone is currently seeking an energetic, detail oriented, and customer-centric individual to fill a full-time Administrative Assistant position at our Toledo counseling office. The Administrative Assistant will be responsible for managing incoming clients, vendors, and other community members. You should have experience with checking in clients for appointments, verifying insurances, completing paperwork and scheduling upcoming appointments. You will also be responsible for incoming and outgoing phone calls, supply orders, and other general admin duties as assigned. There will also be driving duties 1-2 days/week. Hours for this full-time role are Monday-Friday, daytime hours. No nights or weekends! Valid drivers license/insurance required. SUMMARY The Administrative Assistant works under the supervision of the Client Care Supervisor and is responsible for ensuring that clients are welcomed in a professional and friendly manner while treating the clients with respect and dignity during all interactions.

Requirements

  • High School Diploma or GED; Associate’s Degree in related field preferred
  • 2+ years’ experience working in healthcare or other medical field, with understanding of HIPAA, PHI, and electronic health records
  • Experience with written and verbal communication in a healthcare setting preferred
  • Experience working with Microsoft products including Outlook, Word, and Excel
  • Ability to type approximately 40 WPM, with experience in numerical and alphabetical data entry

  • Effective interpersonal skills; able to speak effectively with individuals and/or groups of people
  • Ability to customarily and regularly exercise discretion and good professional judgment
  • Flexible; occasionally may have to work beyond regular business hours with or without notice to meet the needs of clients
  • Strong organizational skills; able to handle multiple priorities with strong attention to detail and perform work independently.
  • Ability to maintain relevant, timely documentation as required.
  • Effective computer literacy skills, including Windows applications, Microsoft Office Suite, and electronic health records, etc.
  • Possess a valid Ohio Driver’s License with a safe driving record and valid insurance.
  • Successfully meet pre-employment drug screen, physical exam and tuberculosis test requirements.
  • Successfully meet all pre-employment background requirements.

Responsibilities

  • Immediately greet and check-in clients and/or visitors when they enter the agency in a manner that is helpful and friendly; direct clients and/or visitors accordingly.
  • Answer multi-line telephone system; triage and accurately distribute phone calls, faxes, mail and scanned documents.
  • Verify and update all client demographic and insurance information at each visit including scanning identification and insurance cards and attaching to the client EHR.
  • Collect payments from clients as appropriate and document to the client EHR.
  • Schedule appointments and/or conduct daily appointment reminders as needed for current and potential clients.
  • Maintain client schedules to ensure efficient operation of the office.
  • Maintain confidentiality as required by state and federal regulations.
  • Maintain and update client documentation accurately and as appropriate in the Manage Electronic Health Records in accordance with agency policy and state and federal regulations.
  • Prepare letters, scan documents to the client, EHR, complete faxes, conduct monthly surveys, and maintain site inspections and drills.
  • Effectively communicate OhioGuidestone programs and services to potential clients and/or referral services.
  • Provide general office administration and oversight, including ensuring maintenance of office equipment, maintaining inventory of needed office supplies, ensuring cleanliness and organization of waiting, coffee and snack areas, where applicable.
  • Drive OhioGuidestone clients to appointments/group therapy 1-2 days per week or as needed
  • Demonstrate positive leadership, promote an inclusive work environment and present the Agency in the most positive light with all internal and external contacts.
