Frasier is seeking a highly organized, proactive, and service-oriented Administrative Assistant to support our Executive Leadership Team (ELT) and ensure smooth day‑to‑day office operations. This role blends executive support with general administrative duties, acting as a central coordinator for meeting scheduling, communication, office logistics, and business needs. You will help coordinate schedules, plan meetings, prepare materials, support communication, and maintain a professional and welcoming environment. HERE'S WHAT YOU'LL DO Executive & Leadership Support (50%) Coordinate and manage calendars for the Executive Leadership Team, including meetings, appointments, and travel. Serve as a primary point of contact for internal and external stakeholders, prioritizing communication with sound judgment. Partner with the Board Liaison Coordinator to support Board meetings and CEO needs, including materials, logistics, and planning. Prepare, proofread, and format executive correspondence, project plans, presentations, and reports. Interface with residents and team members on requests. Support meetings by preparing agendas, materials, scheduling rooms, arranging food, logistics, and technology setup. Track action items, deadlines, and follow‑ups to ensure timely completion. Arrange domestic and international travel, itineraries, and all related logistics. Office & Administrative Support (25%) Provide day‑to‑day administrative support to maintain an organized, professional, and welcoming office environment. Coordinate office service partners (copiers, catering, housekeeping, IT, etc.) as directed. Support team members with basic IT troubleshooting and assistance. Ensure team member information and Uniguest content is kept up to date. Organize and order office supplies. Assist with meeting room scheduling and coordination. Support onboarding preparation for new employees, including workspace setup and access coordination. Assist with expense reports, invoice processing, and basic budget tracking. Project & Program Support (15%) Provide administrative support for special projects, initiatives, and internal events. Assist with planning leadership meetings, retreats, staff celebrations, and internal events. Maintain tracking systems for recognition programs, including birthdays, anniversaries, and milestones. Prepare and coordinate sensitive or special correspondence (condolences, congratulations, acknowledgements, etc.). Records, Systems & Information Management (10%) Maintain organized electronic and physical filing systems, ensuring accuracy, confidentiality, and accessibility. Manage document storage and retention in line with policies and regulatory requirements. Support administrative systems and collaboration tools such as SharePoint, Planner, calendars, and databases. CONFIDENTIALITY, RELATIONSHIPS & PROFESSIONAL STANDARDS – Always Maintain the highest level of discretion and confidentiality. Demonstrate professionalism, judgment, and ethical behavior at all times. Act as the face of the team when managing resident requests. Build collaborative and trusted relationships across the organization. Serve as a positive ambassador for Frasier and a trusted partner to executives.

Requirements

  • Minimum of 3 years of administrative or executive support experience.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Experience with SharePoint, MS Planner, and online scheduling tools.
  • Experience with office equipment and technology.
  • Strong organizational skills and ability to manage multiple priorities.
  • High degree of professionalism and discretion.
  • High school diploma required
