About The Position

To support the teams working on our exciting projects, we are looking for Administrative Assistant In the United States - Houston This isn’t your typical Administrative Assistant role. At Simon-Kucher, you’ll sit at the center of how the Houston office operates – supporting senior leadership, partnering with dynamic teams, driving business development efforts, and owning the day-to-day experience of our office, clients, and team. Beyond administration, you’ll have opportunities to get involved in team management, customer engagement, marketing initiatives, and social media strategy. This role combines high-level executive support with full ownership of office operations. You will act as a trusted partner to two Partners while also serving as the backbone of the Houston office – ensuring everything runs smoothly, efficiently, and professionally. Requirements

  • Bachelor’s Degree required or equivalent work experience required.
  • Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook in particular) and internal collaboration tools and messaging systems (i.e., Zoom, slack) required.
  • Working knowledge of common office equipment (i.e., printers, and video conferencing equipment).
  • Experience supporting senior stakeholders in a fast-paced, professional services environment.
  • Exceptional organizational and prioritization skills with the ability to manage multiple high-priority tasks simultaneously and work under pressure.
  • Excellent written and verbal communication skills with the ability to interact confidently with senior leaders and clients.
  • Proactive mindset, anticipating needs rather than reacting to them, with a flexible, friendly, and positive attitude. A keen sense of effective customer and client service and problem-solving orientation.
  • Excellent attention to detail, accuracy, and organizational skills.
  • High level of discretion and professionalism when handling confidential information.
  • Comfortable working independently while also collaborating across teams.

Nice To Haves

  • Proficiency in Microsoft Dynamics, Clickdimensions, Zoominfo a plus, as well as familiarity with AI in the context of administrative and office management work a plus.

Responsibilities

  • Be a trusted partner to 2-3 Partners – own complex calendars and follow-ups across time zones, manage travel and expenses, and priority management; anticipate needs and ensure seamless day-to-day execution. Support budget preparation and tracking for Partners.
  • Coordinate internal and external meetings, client engagements, and senior-level interactions across time zones with precision and professionalism.
  • Support client-facing project work including scheduling, contract coordination, CRM updates, and high-quality deliverables.
  • Drive business development efforts – coordinate outreach, manage follow-ups, track pipeline activity, and conduct targeted research (e.g., private equity firms, industry players).
  • Execute high-impact client events (e.g., forums and roundtables), including invitation strategy, attendee management, logistics, and on-site delivery.
  • Manage and enhance client engagement infrastructure, including contact databases, customer profiles, and outbound communication initiatives.
  • Own Houston office operations end-to-end, including vendor management, budgeting, procurement, facilities coordination, and overall office experience.
  • Oversee financial and administrative processes such as expense management, invoice handling, and budget tracking.
  • Lead onboarding for new hires and interns, ensuring a structured, welcoming, and high-quality first day and first week experience.
  • Strengthen team culture and office cohesion by planning events, fostering collaboration, and continuously improving processes and ways of working.
  • Be a true team player by providing coverage and support for other Administrative Assistants and the Office Manager as needed. Take ownership of ad hoc projects that keep our office dynamic, collaborative, and innovative, and improve how we work.
