This position plays a critical role in coordinating internal processes, supporting field technicians and business development teams, and ensuring smooth day-to-day office functionality. Strong communication skills, advanced organization, and the ability to multitask under pressure are essential.

Requirements

  • Minimum of two (2) years of related administrative experience
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office, particularly Excel
  • Ability to maintain confidentiality and exercise sound judgment
  • Excellent organizational and multitasking skills
  • Strong problem-solving ability and attention to detail
  • Ability to work effectively in a fast-paced, high-pressure environment
  • Professional demeanor and strong interpersonal skills
  • Willingness to learn new applications and systems
  • Ability to work in a standard office setting and operate office equipment
  • Ability to sit for extended periods of time
  • Ability to lift and carry files up to 5 pounds
  • Vision to read printed materials and computer screens
  • Hearing and speech sufficient to communicate in person and via telephone
  • Ability to maintain attention to detail despite interruptions
  • Ability to perform effectively under high levels of stress

Responsibilities

  • Coordinate onboarding of new technicians, including training, PPE, safety courses, and related new hire processing
  • Serve as the primary timekeeper for the division
  • Review, audit, and verify field timesheets for accuracy and completeness
  • Ensure proper coding of job numbers and coordinate with supervisors to resolve discrepancies prior to payroll processing
  • Book domestic and international travel arrangements
  • Assist with expense reports for business development teams and technicians
  • Prepare invoices for submission to Accounting
  • Maintain organized filing systems (physical and electronic)
  • Schedule and coordinate internal and external meetings
  • Interact professionally with customers and business contacts
