About The Position

HRP Associates, Inc. is seeking a full-time Administrative Assistant with 3+ years of experience for our Farmington, CT office!   The Administrative Assistant will report directly to the Office Administrator.  This is a front desk position handling a wide variety of administrative and clerical tasks.  The person to succeed in this position should exude positivity, energy, creativity, flexibility, and most importantly, be willing to go the extra mile!

Requirements

  • High School Diploma at a minimum, with an AS/BA/BS Degree in related office administration or business a plus
  • Working knowledge of office equipment (computers, printers, copiers, scanners, fax machines)
  • Excellent time management skills and the ability to prioritize work
  • Takes initiative, quick learner, ambitious
  • Great attention to detail and problem-solving skills
  • Strong organizational skills 
  • Excellent written and verbal communication skills
  • Maintains strict confidentiality of information
  • Strong working knowledge of MS Office (Word, Outlook, Excel) and Adobe PDF
  • Excellent data entry and typing skills
  • Experience answering calls while maintaining a professional phone demeanor

Nice To Haves

  • Experience working in the AEC industry
  • Knowledge of Deltek Vantagepoint

Responsibilities

  • General front desk duties, including: Greeting and referring clients and visitors Answering and transferring all incoming calls Receiving and logging incoming mail, coordinating outgoing mail, and dropping packages to UPS, FedEx or USPS when needed  Ordering office supplies
  • General office duties: Ensure the front desk and kitchen are kept clean and organized Coordinating internal office meetings, scheduling conference rooms for supervisors and staff, including catering and room preparation Assisting with and preparing PowerPoint slide shows for internal office use
  • Word Processing duties: Preparing (word processing, formatting, copying/scanning and distribution) HRP Work Product (letters, reports, invoice summaries, copy vouchers, etc.) Communicating with supervisor and technical staff on deadline and/or challenges with meeting deadlines Maintaining formatting consistency and writing standards for processing project deliverables Ensuring attention to detail and quality control of assigned work Managing the filing and storage of project deliverables in electronic folders and archive database Assisting with development and/or updating of stationery/templates for project deliverables Preparing deliverables for FedEx, UPS, or USPS. Formatting, printing, and compiling training materials  Data entry (job openings, project-related logs, tables, labels, etc.)
  • Provide assistance to the BDP Department as needed
  • Provide support and administrative assistance to Regional Offices, as needed
